Before you begin any assignment, SAF will communicate the relevant scope, dates, mode, deliverables and applicable remuneration or engagement basis.
Joining the network itself is unpaid. Where an assignment is paid, the fee and payment terms will be agreed before the assignment begins.
Sports Asia Foundation may maintain the professional information you submitted in its internal Faculty & Professional Network database for administration and matching you with suitable opportunities. How we handle your information.
Your existing teaching materials, research, presentations and other intellectual property remain yours unless separate written terms are agreed for a specific assignment.
Network membership alone does not give SAF automatic permission to record your sessions or publicly use your photograph, biography or professional identity beyond agreed programme participation.

These are the full terms. The ten points on the previous screen summarise them; this is the complete text, and it is what you receive by email and can ask us for at any time.
You are joining the Faculty & Professional Network voluntarily, because you would like your profile to be considered for relevant opportunities. You are free not to join, and free to leave later (Section 19). Membership means your profile is available to be considered when Sports Asia Foundation has a relevant requirement — an eligibility to be considered, nothing more and nothing less. Membership does not oblige you to accept anything; you are not committing your time and you are not agreeing to be available.
Membership by itself does not create or imply:
Where you do accept a specific assignment, you will normally do so as an independent professional providing services, on the terms agreed for that assignment, unless the two of us expressly agree something different in writing at that time.
With your consent, Sports Asia Foundation will maintain the following in its internal Faculty & Professional Network database: your name and contact details; your location and time zone; your photograph where provided; your qualifications and certifications; your professional experience as submitted; your areas of expertise and specialisation; the subjects you can teach or contribute to; your stated availability and preferred modes of engagement; your CV and supporting documents; your professional and academic profile links; a record of any engagements you undertake with us; and internal administrative notes such as your current network status.
We hold this for one purpose: to administer the network and identify which professionals may be suitable when a requirement arises. Your information stays inside Sports Asia Foundation and with the service providers who operate our systems, who may use it only for that purpose. We do not sell your information, and we do not share it for anyone else's marketing. Where a specific programme, partner institution or funder requires us to share a member's profile, we will tell you and seek your agreement first, unless we are legally required to share it.
With your consent we may contact you about relevant academic, training, research and professional opportunities, and about the administration of your profile, using the channels you have given us — email, telephone, WhatsApp, or another professional channel you provide. We will keep contact proportionate and relevant to your stated expertise and availability. This consent is for opportunities and profile administration, not general marketing.
Receiving an opportunity does not oblige you to accept it. It is an enquiry, not an allocation. You can ask us at any time to change how we contact you, reduce contact, or stop contacting you about opportunities, by writing to info@sportsasia.org.
The engagement modes, locations and travel preferences you record are preferences, not commitments. You can update them at any time, and you may still consider an opportunity that falls outside them. Where you are unavailable for a period, tell us and we will record your profile as temporarily unavailable and resume contact when you are ready. This is routine and carries no adverse implication.
When we have a requirement that appears to match your expertise and availability, we may approach you with the details. You may accept or decline. There is no obligation either way, and we do not expect a justification for a decline.
Declining an opportunity does not affect your membership of the network. It does not remove you, and it does not reduce your standing for future opportunities. Equally, Sports Asia Foundation is not obliged to approach any particular member for any particular opportunity, and members are not approached in any fixed order or rotation.
This document does not set the terms of any work. It creates no commercial arrangement, and it fixes no fee, schedule, scope or deliverable. Before any assignment begins, we will confirm the details of that specific assignment, which will normally include: the programme; the subject or session title; the scope of work; the dates and duration; the number of sessions or hours; the mode of delivery; the location where relevant; the deliverables; whether the assignment is paid, honorary or otherwise, and if paid the remuneration and payment terms; travel and reimbursement where relevant; content requirements; whether the session will be recorded and how a recording may be used; who owns or may use materials created for the assignment; any assignment-specific confidentiality; and anything else specific to that assignment.
These will be set out in a separate written Faculty Engagement Confirmation / Assignment Letter. The assignment proceeds once both of us have confirmed it. Where anything in that Engagement Confirmation differs from this document in relation to that assignment, the Engagement Confirmation applies to that assignment; this document continues to govern your general association with the network.
Joining the network does not itself carry any remuneration, fee, retainer or allowance. There is no payment for being in the network, and no payment for being available.
Where you are invited to take up a specific assignment, we will tell you at the time of the invitation, and before you decide, whether that assignment is paid, honorary, voluntary or on some other basis. If it is paid, the remuneration and payment terms will be communicated and agreed with you before the assignment begins, and recorded in the Engagement Confirmation. Payment for a completed assignment is processed in accordance with the terms agreed for that assignment, and is subject to any statutory deductions, tax requirements and documentation that apply. Sports Asia Foundation does not operate a standard or uniform fee for network members.
You confirm that the information you have given us is accurate and complete to the best of your knowledge — qualifications, certifications, employment history, professional experience, research, publications, awards, memberships and any other credentials. Where it is relevant, for example for a programme with accreditation requirements or where a partner institution requires it, we may ask you for supporting documents or verify a specific credential with the awarding body; we will tell you when we are doing so and why. If you become aware that something is inaccurate or out of date, please let us know. Where information is found to have been materially misrepresented, we may review your status in the network.
These standards apply when you are working on a confirmed assignment, and to your dealings with us as a member. We ask that you conduct yourself professionally and communicate respectfully with learners, colleagues, partners and our staff; maintain integrity in the content you deliver; be punctual and reliable, and give as much notice as you reasonably can if something has to change; interact with learners appropriately and maintain proper professional boundaries; not discriminate on grounds including gender, gender identity, religion, caste, ethnicity, national origin, disability, age or sexual orientation; not engage in harassment of any kind, including sexual harassment, bullying or intimidation; follow the policies of the programme, institution or venue where an assignment is delivered where these have been communicated to you; and represent Sports Asia Foundation responsibly during a confirmed assignment, within what has been agreed.
Working with children, young people and vulnerable participants. Some programmes may involve participants who are minors or otherwise vulnerable. Where an assignment involves such participants, additional safeguarding requirements will apply, and will be communicated to you separately and in writing before that assignment begins.
If a serious concern is raised about conduct on an assignment, we will look into it fairly, tell you what the concern is, and give you an opportunity to respond before any decision is taken about your status in the network.
In any content you prepare or deliver, we ask that you present information that is accurate and current and distinguish established evidence from opinion; acknowledge your sources properly; not present the work of others as your own; respect third-party intellectual property, including in images, video, data and teaching materials you use or distribute; maintain the standards expected in your field; and disclose any interest a reasonable participant would want to know about, such as a commercial relationship with a product, method or organisation you are discussing. Where you use third-party material in a session, please ensure you are entitled to use it for that purpose and that it is attributed.
Material you already have. Content, presentations, frameworks, models, research, teaching materials and other intellectual property you created independently — before an assignment with us, or outside it — remain yours. Taking part in the network does not transfer any of it to us and does not give us a licence to use it, unless we agree that separately in writing.
Material created for an assignment. Where you create material specifically for an assignment, who owns it and who may use it for what will be agreed in the Engagement Confirmation for that assignment, before the work is done. In the absence of an express agreement, nothing in this document transfers ownership of that material.
Sports Asia Foundation material. Our name, logo and branding, and the curricula, programme designs, proprietary frameworks and learner materials we provide to you, remain the property of Sports Asia Foundation or its licensors. You may use them for the purpose of the assignment for which they were given to you, and not otherwise.
Nothing in this document requires you to assign, license or share any of your intellectual property as a condition of network membership.
Agreeing to these terms does not give Sports Asia Foundation permission to record you. If we would like to record a particular lecture, workshop, training session or other engagement, we will tell you before or as part of the confirmation for that assignment, and set out what the recording would be used for. Recording proceeds only with your agreement for that assignment.
Where recording is agreed, the permitted uses will be stated specifically — for example internal academic and quality-assurance use, access for learners enrolled in that programme, retention in the programme archive, or short excerpts used to describe the programme. Uses that were not agreed are not permitted; if we later want to use a recording beyond what we agreed, we will come back to you. Where a session is being recorded, we will also make that clear to participants.
Internal use. We hold your name, photograph and professional profile in our internal database so that our team can administer the network and identify suitable professionals. This internal record is covered by your consent above and is not published.
Public use is separate, and it is your choice. If we wish to present you publicly — as faculty, a trainer, a speaker, an expert, a mentor, an advisor or a contributor — that requires your consent for that representation. Being in the network is not, by itself, permission to describe you publicly as associated with Sports Asia Foundation.
Whichever option you choose: we will describe your role accurately and will not overstate your association with us; your biography will be one you have approved; your name and photograph will not be used to promote a programme you are not part of; they will not be used for anything unrelated to our own programmes and activities, and will not be shared with third parties for their promotion; and you can change or withdraw this permission at any time by writing to info@sportsasia.org. We will stop using your name and photograph in new material and remove them from material we control within a reasonable period. Material already printed or distributed may not be fully retrievable.
In the course of a confirmed assignment you may receive information from us, or from a partner institution, that is not public — learner information, unpublished programme or curriculum material, partner or commercial arrangements, or internal plans. Where information is marked or described as confidential, or would reasonably be understood to be confidential from its nature or the circumstances, please do not disclose it or use it for any purpose other than the assignment without our agreement. Learner information deserves particular care and should be used only for the purposes of the programme.
This does not apply to information that is already public, or becomes public other than through a breach; that you already knew or develop independently; that you receive properly from someone free to disclose it; or that you are required by law, a regulator or a court to disclose — in which case, where you are permitted to, please let us know.
Nothing in this section prevents you from describing your own professional experience in general terms, continuing to work in your field, or using the general knowledge, skill and experience you gain. Nothing in it prevents you from raising a concern about wrongdoing, safety or misconduct with an appropriate authority. An assignment may carry additional confidentiality requirements, which will be set out in its Engagement Confirmation. These obligations continue for three years after the end of the assignment through which you received the information, except for personal information about participants and anything protected by law, where the obligation continues for as long as the law requires.
Membership is not exclusive. You remain free to work, teach, research, consult, and hold positions and affiliations anywhere else, including with other institutions and networks. We neither expect nor ask for exclusivity.
Where a specific opportunity is offered to you, please tell us about any interest that could reasonably affect that assignment. Disclosure is normally all that is needed; most conflicts are managed simply by being known. Very occasionally a specific assignment may carry a legitimate restriction — for example a partner institution's rule about delivering a competing accredited programme during the same period. Any such restriction will be stated in that Engagement Confirmation, limited to what the assignment genuinely requires, and is yours to accept or decline at that point. No such restriction arises from network membership.
Your own institution's rules. If you are employed by a university, institution, federation, government body or company, your employer may have its own requirements about outside teaching, consultancy or professional engagements — including prior permission or a no-objection certificate. Please make sure you comply with your own institution's requirements before accepting any assignment. Sports Asia Foundation is not in a position to know or assess those requirements on your behalf.
What we hold and why. The professional information you submitted, your contact details, your documents, and the administrative record of your profile and any engagements — to administer the network, identify professionals who may be suitable when a requirement arises, contact you about relevant opportunities, and keep records of engagements you undertake with us.
How long we keep it. For as long as you are a member, and afterwards only for as long as we reasonably need it — for records of completed engagements, accounting, tax and legal compliance, and for dealing with any question or dispute. When we no longer need information for those purposes, we delete it or anonymise it.
Who can see it. Sports Asia Foundation personnel who need it to administer the network, and the service providers who operate our systems, who may use it only for that purpose and are required to protect it. We do not sell your information. We use reasonable administrative and technical measures appropriate to its sensitivity, including access controls, secure storage for documents, and restrictions on who within Sports Asia Foundation can view a member record.
Your choices. You may at any time ask us to tell you what we hold about you; correct or update anything inaccurate; change how or how often we contact you; withdraw a consent you have given — including the public-use permission — without affecting anything done before you withdrew it; remove you from the active network; or delete your information, which we will do except where we need to keep specific records for the purposes described above. Write to info@sportsasia.org. Please allow a reasonable period for us to respond, and we may need to confirm your identity first.
Where your information is held. Our systems and service providers may be located in India or elsewhere. Where information is transferred across borders, we take reasonable steps to see that it continues to be protected. Our full Privacy Notice is available at sportsasia.org/privacy.
The network is only useful — to you and to us — if your profile is accurate. Please let us know when something material changes: your contact details, organisation or designation, qualifications and certifications, specialisation or areas of expertise, availability, location, or engagement preferences. Updates go to info@sportsasia.org. From time to time — normally once a year — we may ask you to confirm that your profile is still accurate. This is routine housekeeping and takes a moment.
You may ask to be removed from the active network at any time, for any reason, by writing to info@sportsasia.org. You do not need to give a reason and there is no notice period. We will remove your profile from active consideration and you will not be contacted about further opportunities. Where you are in the middle of a confirmed assignment, that assignment continues to be governed by its own Engagement Confirmation.
Removing you from the active network is not always the same as deleting every record. We will delete or anonymise your information except where we reasonably need to keep specific records — for example records of completed engagements, payments made, tax and accounting records, and anything we need to retain to comply with the law or deal with a question or dispute. We will keep only what is needed, for no longer than is needed. You can ask us what has been retained and why, and ask for it to be deleted once it is no longer needed.
To keep the network accurate and credible, we review profiles from time to time, update member status, and decide which members are suitable to approach for a particular requirement. We may make a profile temporarily inactive, or remove it, where there is a reasonable basis to do so — information or credentials found to be materially inaccurate; serious professional misconduct; repeated failure to meet obligations agreed for a confirmed assignment; a request from the member; the member being uncontactable or their profile no longer current; or a change in how the network is structured or in the areas it covers.
Where we are considering removing a member for a reason relating to conduct or credentials, we will tell them what the concern is and give a fair opportunity to respond before deciding. Where a profile is made inactive or removed, we will tell the member. Being made temporarily inactive because of availability, contactability or a change in the network's focus carries no adverse implication, and a member may rejoin the active network by contacting us.
Membership does not, by itself, authorise you to represent Sports Asia Foundation or hold yourself out as speaking for it; enter into any agreement on its behalf; make any commitment, financial or otherwise, on its behalf; use our name, logo or branding independently, including on your own materials, website, social media or business cards; or describe yourself as holding an appointment, position or office at Sports Asia Foundation, or as being employed by it. Where we wish you to represent us in a particular capacity, that will be authorised separately and in writing, and will state the scope of the authority. During a confirmed assignment you may of course describe your role accurately — for example, that you are delivering a particular session or module for a Sports Asia Foundation programme.
There is no fixed term. Your association continues until you ask to be removed; we remove or deactivate your profile; the structure of the network changes in a way that ends the association, of which we will inform you; or a different arrangement is agreed between us that replaces this one. Normally once a year we will ask you to confirm that your details and availability are still accurate; if we do not hear from you we may move your profile to inactive until we do. This is administrative housekeeping, not a decision about your standing. Sections meant to continue afterwards — confidentiality, intellectual property, and the record-retention position — continue to apply for as long as they are stated to.
We may need to update these terms from time to time — for example to reflect a change in law, or a change in how the network operates. We will not change them silently. Where we make a material change — including any change to how your information is used, to the consents you have given, to intellectual property, or to the nature of the association — we will tell you, explain what has changed, and ask you to confirm your consent to the revised terms. For minor changes that do not affect your rights or the substance of the association, we will notify you of the updated version without asking you to re-consent. If you do not wish to accept revised terms you may leave the network; your existing consent continues to apply until you either accept the new terms or leave. Each version is dated and numbered, and you can ask us for a copy of the version you accepted at any time.
